1. Scope and Principles
Clío Journal (ISSN: 2660-9037) adopts an AI usage policy aligned with international best practices required by Scopus and Web of Science (WoS), and referenced in COPE, ICMJE, and CRediT standards. Our goal is to ensure transparency, traceability, academic integrity, and human accountability throughout all stages of the editorial process.
2. Authorship: AI Is Not an Author
AI tools cannot be listed as authors or co-authors. Full responsibility for the content’s accuracy, originality, and compliance with rights lies exclusively with human authors. Any AI intervention must be declared and verifiable by the authors.
3. Permitted and Prohibited Uses
Permitted (with explicit declaration and human oversight):
- Linguistic support (writing, responsible paraphrasing, grammar, and style correction).
- Assistance in organizing ideas, structuring, and summarizing without introducing unverified information.
- Technical assistance in reproducible tasks (e.g., data cleaning, auxiliary code generation) provided that the method, parameters, and human verification are documented.
- Translation subject to thorough human review.
Prohibited:
- Fabricating data, citations, references, results, or sources (“hallucinations”).
- Replacing critical analysis, academic discussion, or interpretation with AI outputs lacking explicit human validation and judgment.
- Using generative AI to draft peer reviews or process confidential manuscripts without prior editorial authorization.
- Infringing copyrights, licenses, platform Terms of Service, or processing sensitive personal data without legal basis and proper safeguards.
4. Mandatory AI Use Declaration
Any manuscript that has used AI at any stage must include, at the end of the text (before the references) or in “Acknowledgements/Methodological Notes,” a section titled Declaration of AI Use containing:
- Tool(s) and version.
- Specific tasks performed.
- Key parameters/processes, where applicable.
- Human supervision and verification: who reviewed and how results, data, citations, and code were validated.
- Availability and reproducibility: provide supplementary material (scripts, logs, correspondences between AI outputs and human corrections).
Omission of this declaration, when applicable, may result in rejection, a major revision request, or post-publication retraction.
5. Academic Integrity and Verification
Authors must verify the accuracy of all AI-assisted content (data, citations, tables, translations, code). It is prohibited to present text or results generated by AI as original human work without disclosure. Clío may use verification software and require audits.
6. Data, Code, and Reproducibility
If AI was involved in data processing or code generation, authors must describe the entire pipeline, including tools and parameters; provide a repository or appendix with scripts and versions; and specify licenses and permissions for data and models.
7. Confidentiality in Peer Review
Reviewers and editors must not input manuscripts or substantial parts thereof into AI systems that do not guarantee confidentiality or that retain content for training. The use of AI for linguistic support in reviews requires prior editorial authorization and full human oversight.
8. Copyright and Legal Compliance
Authors are responsible for ensuring that AI use does not infringe third-party rights or violate licenses or Terms of Service. Processing sensitive personal data through AI without a legal basis, anonymization, and adequate security measures is prohibited.
9. Editorial Declarations and Sanctions
The integrity declaration and the AI use declaration are submission requirements in Clío. Non-compliance may lead to rejection, correction, expression of concern, retraction, and, where appropriate, notification to the authors’ institutions.
10. Declaration Templates
10.1. For Authors (AI Use):
AI Use Declaration
We hereby declare that we used the tool [Name and version] for the following tasks: [describe specific tasks]. All outputs were reviewed and verified by the authors, who assume full responsibility for the content. Parameters/processes are documented in [appendix/repository], and all applicable licenses and Terms of Service were respected. No data, results, or references were generated without human validation.
10.2. For Reviewers (Confidentiality):
Reviewer Declaration on AI
I declare that I have not used AI tools to process confidential manuscript content, or, if applicable, that I did so only with prior editorial authorization, ensuring confidentiality and full human review of the report.
